⏳ Extension Requests
Sometimes a consultant can't respond before the round deadline, or a decider needs more time. Extension requests let members ask for more time in a structured, traceable way — without the Responsible having to manually adjust deadlines.
Who Can Request an Extension?
- Consultants — can request an extension on an active feedback round if they have not yet submitted their response
- Deciders — can request an extension on an active decision round, but only if the Decider role is not listed in the task's "Who can extend" setting (see below)
One extension request per person per round is allowed. If a request was previously denied, the consultant may re-submit a new request.
How to Request an Extension
- Go to the task detail page while a round is active
- Scroll to the ⏳ Request Extension panel (visible only to eligible members)
- Enter your reason and select an extension amount (hours, days, or weeks)
- Click Send Request
The Responsible and any eligible approvers are notified immediately by email. The email includes your reason, the requested extension, and a preview of all new round and task deadlines if approved.
Who Can Approve or Deny?
When creating a task, the Responsible sets "Who can extend rounds?" in the Additional Settings. Options are:
- Task Creator — the account that created the task
- Responsible — the assigned Responsible role member
- Decider — the assigned Decider
At least one role must be selected. Any member whose role is checked can approve or deny extension requests from the task detail page. Only one person needs to act — the first decision is final.
What Happens When Approved?
Approval shifts the current round's end time forward by the requested amount. All subsequent rounds and the overall task deadline are shifted by the same delta — nothing gets compressed. The requester receives an email confirmation and the task detail page updates immediately.
What Happens When Denied?
The requester receives a simple email notification that their request was denied. The round deadline is unchanged. The consultant is encouraged to submit their response before the original deadline.
Already Reviewed by Someone Else?
If a second approver tries to act on a request that's already been approved or denied, they see a message: "This request has already been [approved/denied] by [name]." The decision stands — it cannot be overridden.
Multiple Requests on the Same Round
Multiple consultants can each submit their own extension request for the same round. Each is reviewed individually. If any single request is approved, the most generous approved time is applied and all other pending requests are also marked as approved automatically.
